Working with independent decision-making ability, the Marketing Assistant creates and manages wide variety of marketing projects for various clients within the Haas School of Business. Project responsibilities range from conceptual development and assessment to full implementation and follow-up evaluation of the project. Projects range from print publications to online communications, video productions, and events and media relations, and many others, as needed. The Marketing Assistant also works closely with the Chief Marketing Officer, Content Marketing and Creative Director, the Director of Online Marketing and Technology, Deputy Director, and the Events Manager regularly in carrying out a wide variety of marketing assignments and projects, including support for the general communication and PR needs. The assistant is also responsible for a range of bookkeeping and general administrative assignments for the Marketing and Communications office.
The Office of Marketing and Communications designs and implements a comprehensive, unified marketing and communications effort for the Haas School of Business and its degree and non-degree instructional programs, research centers, public service activities, and external relations activities. The Office is responsible for managing the Haas School/UC Berkeley brand image by providing strategic marketing and communications advice and planning to the Dean, the Dean’s Council, program directors, other senior staff and faculty throughout the School. The Office is also responsible for developing and managing a broad range of initiatives in marketing, print and digital communications, media relations, and community relations to promote greater external understanding and recognition of the Haas School’s contributions.
Provides accounting support, including account reconciliation as required. Regular duties include the following: •General Financial Duties: Advise on purchasing process in regard to projects; Monitor overall budget and assist with individual budgets; Monitor that proper paperwork is initiated for projects; Monitor that policy is followed with regard to purchasing; determine if small expenses are acceptable and where they are expensed. •Monitor and ensure department adherence to purchasing policies •Create purchase requisitions to open PO’s and obtain required paperwork for all vendor contracts and purchases. Handle all follow-up. •Submit and/or assist in submitting invoices (with all required backup documents) for processing and payment •Work with individual department staff to ensure adherence to policies and timely payment to vendors •Purchase office supplies and miscellaneous equipment for department staff, as needed. •Maintain department purchasing records and provide information about said records to department staff upon request
Assist members of the Marketing & Communications department with the following assignments, and others, as needed, including: •Assist Events Manager with the coordination of the Dean’s Speaker Series, as needed, including updating event webpage with speaker bio’s, ordering of event banners, day of activities such as checking in of attendees and post-event responsibilities. •Work with Creative Director to coordinate vendors for photography and video shoots •Assist in the planning, management (logistics), and direction of student, faculty, alumni, and event photography. Track and create clear spending reports for the marketing photo budget. Manage photography database and photo files. •Oversee creation of various publications projects. •Oversee faculty bio sections of Berkeley-Haas website, including handling periodic updates and contacting faculty for new information. •Assist with online marketing technology, including reviewing and updating web pages. •Oversee planning, writing, design, and the production of key marketing collateral printed publications such as program datasheets, brochures, promotion cards, etc. •Special projects (both print and online) •Other duties as assigned - Assists Deputy Director with basic market research projects.
CAREER DEVELOPMENT •Work on special programs as assigned •Attend classes which will enhance expertise in job areas •Participate in activities that enhance the campus community and/or larger community to further University service •Maintain knowledge of the Marketing & Communications unit business processes in order to provide back up to other support staff in the unit. Conducts basic market research and/or sales and generates and uses marketing and/or sales reports. •Provide student satisfaction survey response management services for all programs, including letter creation, schedule, approvals, incentives, and maintenance. Ensures good customer service through providing appropriate information to answer questions and explain basic products and services.•Knowledge of and the ability to conduct routine bookkeeping duties, monitor and expedite financial transaction procedures (pay invoices, file for reimbursements, etc.) for the MarCom office using UC Berkeley online financial systems. •Knowledge of and experience working with survey instruments, project management, coordination with vendors and departments, and affordable techniques for incentivizing survey responses. •Experience updating websites using HTML, Dreamweaver and WordPress content management system. •Knowledge of and experience supporting communications, planning and execution of events. Including experience contracting with and managing outside vendors and suppliers. •Knowledge of and experience with marketing principles, concepts, best practices, and their implementation. •Outstanding customer service and interpersonal skills are a must. •Detailed oriented and strong organizational skills. •Excellent written and verbal communication skills. •Ability to be flexible in handling various work assignments, successfully handle multiple projects going on simultaneously and work within tight deadlines. •Ability to multitask a variety of complex projects simultaneously and work harmoniously and successfully with members of the MarCom team in carrying out these projects. •Ability to manage student workers. •Prefer knowledge of the school and campus including its achievements, mission, vision, goals, objectives and infrastructure. Education/Training: •Bachelors degree in related area. One year or more experience in relevant areas (marketing communications) strongly preferred.
